Make the answer specific to the account
A trader asking about a payout rarely needs a general description of your payout policy. They want to understand their request: was it submitted, is something missing and what happens next?
This is where an AI support agent could help. With an approved connection to your records, it can investigate the account’s actual status and explain it in clear language.
The examples below describe possible workflows, not a live integration or a promise about any firm’s payout timing.
Investigate the payout request step by step
First, link the ticket to a verified account. An account number helps find a record; it does not prove that the person owns it.
Then check whether a payout request exists, which stage it has reached and whether the record shows an outstanding step. Keep submitted, approved and sent statuses separate.
Illustrative response: “Your request is recorded. The account shows that one required document is still missing. Here is where you can complete that step.”
Use the firm’s actual rules and status labels. FTMO’s published reward process, for example, has several steps. Other firms may work differently.
Use the same approach for access problems
For “I paid but have no account,” check the order, account creation status and delivery information. For “I cannot log in,” check access and known technical issues.
If a routine correction is authorized, the agent can follow that procedure and check the result. Disputed decisions, sensitive changes and requests without reliable evidence need the appropriate human review.
Complexity alone does not decide who handles the ticket. The available evidence, permissions and decision rules do.
Improve one process first
Choose payout-status questions or missing-account tickets. Define the records the agent may read, the steps it may take and when it must seek help.
Test against different account situations, including missing information. Track correct explanations, resolution time and repeat contacts.
The aim is simple: fewer vague replies, less repeated searching and a clearer next step for the trader.
